Major Duties

Under general supervision, the Department Coordinator will support academic and departmental operations, facilitate faculty hiring processes, coordinate the schedule of classes, and assist with financial and logistical tasks. Serving as the central communication hub, you'll ensure smooth operation within the department, enabling faculty and student success. You'll be responsible for maintaining departmental records, assisting with payroll and HR processes, managing departmental communications, and ensuring compliance with university policies. Your duties also include updating the department's digital presence, supporting accreditation and program review processes, coordinating student assistant activities, and handling procurement and logistical tasks essential to daily operations and special events.

  • Provides administrative support and coordination to the Department Chair and for departmental operations.
  • Maintains and updates the departmental website and social media accounts with necessary updates as assigned (Facebook and Instagram), including content creation, posting, and updates.
  • Supports the Chair in coordinating and facilitating faculty hiring, search and screen processes, and retention, tenure, and promotion (RTP) processes.
  • Coordinates and processes the Schedule of Classes (SOC) built with the Chair, and supports creation, maintenance, and updates to meet departmental FTE targets.
  • Assists in the coordination and implementation of department events, student/community outreach activities, and commencement.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity, exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience.

 

Knowledge, Skills, & Abilities

  • Demonstrated knowledge and ability in coordinating faculty recruitment, hiring, retention, tenure, and promotion processes, including managing personnel actions, payroll processing, maintaining confidential personnel records, and accurately preparing university reporting documents.
  • Proficiency in administrative and logistical support, including coordinating procurement processes, preparing hospitality documentation, processing travel and expenditure transactions using financial systems, and organizing departmental events and community outreach activities effectively.
  • Proven ability to provide comprehensive administrative support, including coordinating departmental calendars, managing communication channels, maintaining departmental websites and social media, and serving effectively as a liaison between the department chair and various administrative units.
  • Skilled in office operations and workflow coordination, with experience prioritizing projects, maintaining accurate department records, implementing departmental policies, ensuring compliance with emergency and continuity plans, and promptly responding to student, faculty, and staff inquiries.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more.
  • Classification: Administrative Support Coordinator / 1035 / 2
  • The anticipated HIRING RANGE: $4367 - $4821 per month, dependent upon qualifications and experience. The salary range for this classification is: $4367 - $6362 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.  
  • This is a Regular position with a one-year probationary period. 
  • The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
