Final salary placement is commensurate with experience, internal equity, and budget considerations. This is a temporary, full-time, benefited, non-exempt, 12-month pay plan.

Position Summary:
Reports to the Dean to meet unit and program objectives by providing coordination for office, fiscal, and college operations.
Key Responsibilities:
Office Coordination and Support:
- Provide administrative and scheduling support for the Dean, including travel support in Concur;
- Support the Dean in preparing and routing MOUs to appropriate partners;
- Attend department/faculty meetings upon direction from the Dean and record/prepare minutes;
- Provide lead work direction to student support staff to set priorities, delegate tasks, train on procedures, monitor workflow/completion, and provide input for evaluation;
- Plan and execute large-scale coordination projects with visible impact (e.g., multi-program events/rollouts), coordinating across departments and making independent day-to-day decisions from initiation through evaluation;
- Assist with Procard reconciliation for all staff members
- Monitor and maintain CEE's professional memberships;
- Support supervisors and leads with onboarding, training, and professional development, and support a cohesive, collaborative, and effective college.
- Support the Dean in formulating reports to assess and evaluate CEE's financial status;
- Review and monitor position inventory for permanent positions, ensuring appointments, separations, leave, retirement, and payroll are accurate and appropriate;
- Coordinate office supply purchases as needed,
- Provide support to the front counter staff and student staff in supporting students that inquire at the front counter,
- Coordinate staff retreat and weekly meetings for the college,
- Support the registration staff in prepping registration,
College Operations:
- In collaboration with the Dean, organize and coordinate strategic and operational fiscal matters;
- Prepare management reports, fiscal year continuation budgets, and other financial status reports;
- As the main contact for P2P/AR Billing, evaluate and recommend improvements processes; develop and document procedures to coordinate implementation across units;
- Prepare faculty teaching contracts for credit and non-credit programs,
- Ensure instructor payroll is accurate and in compliance with all contractual obligations and the faculty collective bargaining agreement;
- Track overload and additional pay for CEE instructors, including tracking WTU efforts and faculty contract buy-outs;
- Support the Dean to track and provide accurate, detailed information on expenditures, available balances, and agency restrictions on use of funds, which includes state funds, endowment funds, gift funds, contract and grant funds and expenditures, and self-support funds;
- Support the Dean in preparing quarterly and end-of-the-year reports for EE and OLLI;
- Work closely with Dean, Coordinators, and Specialists to provide grant support such as pre- and post-awards budget calculations, and reporting; ensure accurate records and documentation in compliance with university standards, state contracting standards, and any grant requirements.
Knowledge, Skills, and Abilities Associated with this Position Include:
- Experience to be fully functional in all technical aspects of work assignments.
- Ability to independently handle multiple work unit priorities and projects.
- Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
- Working knowledge of budget policies and procedures.
- Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
- Thorough mastery of English grammar, punctuation, and spelling.
- Expertise in using office software packages, technology, and systems.
- Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
- Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
- Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
- Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
- Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
- Ability to effectively write and present own reports.
- Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
- Ability to use negotiation and persuasion skills to achieve results and expedite projects.
Minimum Qualifications:
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Preferred Qualifications:
- College degree
- two years in progressively responsible administrative or clerical position
- experience in an academic office or educational setting with a diverse student and staff population
- working knowledge of PeopleSoft, Slate, social media platforms, 25Live, Google Suite, Adobe Sign and other software used by Cal Poly Humboldt.
